Phase 4 · Event Day

Building a Run of Show for a Keynote Speaker

Put the speaker's arrival, AV check, introduction, keynote and departure into the event's run of show. Add Q&A, photographs, a book signing or another appearance if those are part of the engagement. Each entry should give the event team the time, location and person responsible; production cues need enough detail for the people running them.

The speaker may need a shorter version showing where to be and when, while the production team needs the full cue sequence. The times in a sample schedule are examples, so build yours around the program and the speaker's confirmed plans. If the event begins running late, the onsite contact should tell the speaker and the Mollie Plotkin Group promptly.

Use the full guide and template: How to Write a Run of Show for a Corporate Event covers the chronological schedule, the production and speaker-facing versions and how the event lead communicates changes.
